Udupi: In a progressive step towards improving governance and transparency, the Udupi City Municipality is all set to introduce the E-Office system, with full implementation expected by next month.

Already adopted by departments like the district administration, Zilla Panchayat, and Railways, the digital filing system is now being extended to urban local bodies. The mapping phase is underway, trial runs are scheduled soon, and staff training and equipment setup are nearly complete.

Currently, the municipality processes around 100–120 applications daily, manually recorded in registers. Tracking file movement is difficult, often leaving citizens uncertain and making multiple follow-up visits necessary.

The new E-Office system aims to digitize and streamline the entire workflow. Each application will receive a token number, allowing real-time tracking. The Municipal Commissioner will have full visibility over submission dates, processing stages, and delays. If a backlog arises, the concerned department will be held accountable.

Citizens can continue submitting hard copies, which will be digitally scanned and uploaded. This shift ensures workflow continuity even during staff shortages, a persistent issue—the municipality currently has half of its SDA posts vacant and several unfilled positions in other departments.

Commissioner Mahantesh Hangaragi confirmed the move, saying it will lead to faster, more transparent service delivery, reduce paperwork, and lighten the load on staff.

The E-Office system is expected to bring efficiency, accountability, and public convenience, marking a new chapter in Udupi’s digital governance journey.
